Privacy Policy

This Privacy Policy explains how MyAudioNote ("we," "us," or "our") collects, uses, and protects your information when you use our mobile application and services (the "Service").
If you do not agree with this Policy, you must not use the Service.
1. Information We Collect
Information You Provide
- Account Information: When you create an account, we collect your name, email address, and profile picture (if provided through your login provider).
- Voice Recordings: Audio recordings you create, along with AI-generated transcriptions, summaries, and to-do items derived from those recordings.
- AI Search Queries: Text queries you submit when using AI Search.
- Payment Information: Payments are processed entirely by Apple Inc. through Apple In-App Purchases. We do not receive, process, or store your payment card details.
- Support Communications: When you contact us, we collect your email and any information you provide about your inquiry.
Information We Automatically Collect
- Usage Information: Anonymized usage patterns such as recording counts, session streaks, feature usage, and AI search counts to improve the Service.
- Device Information: Device type, operating system, app version, and unique device identifiers.
- Approximate Location: We may infer your approximate location from your IP address.
- Biometric Data (App Lock): If you enable Face ID or Touch ID, your biometric data is processed entirely on your device and is never sent to our servers.
Information Received from Third Parties
- Authentication Providers: When you sign in via Google or Apple, we receive your name, email, and profile picture.
- Apple In-App Purchases: We receive transaction receipts and subscription status notifications from Apple to confirm and manage your subscription.
2. How We Use Your Information
- Provide the Service: Process your recordings and generate transcriptions, summaries, tasks, reminders, and AI search results after you grant in-app AI processing permission.
- Improve the Service: Analyze anonymized usage patterns to enhance features and fix bugs.
- Transactional Communications: Send you essential emails such as account confirmation, password resets, and technical notices.
- Marketing Communications: Send you emails about new features and special offers (you can unsubscribe anytime).
- Prevent Fraud: Detect and prevent fraudulent or unauthorized activity.
- Comply with Law: Meet legal obligations and enforce our terms.

These providers process your data according to their own privacy policies. We share personal data with service providers only as needed to operate the Service and require appropriate confidentiality, security, and data-protection commitments for that processing.
Important: Your recordings and content are NOT used to train AI models. Groq and OpenAI process your audio and text solely to provide transcription and search features. They do not retain your data after processing, except as minimally required for abuse prevention per their terms.
4. How We Share Your Information
- Service Providers: With third parties who help us operate the Service (see Section 3).
- Legal Requirements: If required by law, legal process, or government request.
- Business Transfers: In connection with a merger, acquisition, or sale of assets.
- With Your Consent: When you explicitly authorize sharing, including when you grant in-app permission for AI processing by Groq and OpenAI.
We do not sell your personal information.
5. Data Retention
- Free Plan: Voice recordings are retained for 90 days. Recordings older than 90 days are automatically and permanently deleted.
- Pro Plan: Voice recordings are retained indefinitely while your subscription remains active. If you cancel or downgrade, the 90-day retention policy applies.
- Deleted Content: When you delete a recording, it is immediately and permanently removed from our servers.
- AI Processing: Audio sent to AI services (Groq, OpenAI) is not used to train AI models and is not retained by them after processing, except as minimally required for abuse prevention or service reliability per each provider's terms.
- Deleted Accounts: Upon account deletion, your voice recordings, transcripts, to-do items, name, and profile picture are immediately and permanently deleted. Your email address and account identifiers are replaced with cryptographic hashes (one-way transformations that cannot be used to identify you) and your account is marked deleted. Anonymized aggregate usage statistics (e.g., total recording count, total duration) are retained for product analytics. No readable personal information is retained after account deletion.
6. Data Security
All voice recordings stored on our servers are encrypted using AES-256-GCM. Each user's recordings are encrypted with a unique per-user key derived via HKDF-SHA256. Keys are never stored in the database. Decryption happens entirely on your device.
All data is transmitted using TLS/HTTPS. Database access policies ensure users can only access their own data (row-level security).
To provide transcription, summaries, action items, reminders, and AI search, your audio recordings, transcripts, and AI search queries are sent to AI services only after you grant in-app AI processing permission. This processing occurs before encryption is applied to the stored audio file. AI services do not use your data for training and do not retain your audio or text after processing, except as minimally required for abuse prevention per their terms.
7. Your Rights
- Access: Request a copy of your personal data by contacting us.
- Correction: Update inaccurate or incomplete data in the app.
- Deletion: Delete your account and associated data directly in the app under Profile → Delete Account.
- Opt-out: Unsubscribe from marketing communications at any time via the unsubscribe link in any email.
California Residents (CCPA/CPRA): You have the right to know what personal information we collect and how it is used, to request deletion, and to opt-out of the sale of personal information (we do not sell your information).
European Residents (GDPR): You have the right to object to processing, restrict processing, and lodge a complaint with a supervisory authority.
8. International Data Transfers
Your data may be transferred to and processed in the United States, where our servers and third-party service providers are located. By using the Service, you consent to such transfers.
9. Children's Privacy
The Service is not intended for children under 13 years old. We do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will promptly delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or in-app notification. Your continued use of the Service after changes constitutes acceptance.
